The protection of your personal data when visiting our website is a special concern to us. We take the protection of your private spheres very seriously. For this reason, we provide you with information regarding what data we collect and how it is used.

For the collection, processing, and usage of personal data, we comply with the General Data Protection Regulation and the German data protection guidelines.

Legal basis of processing

The legal basis for the processing of your personal data is our overriding legitimate interest (pursuant to Article 6 (1) (f) of the EU General Data Protection Regulation).

Duration of storage

We generally store data for a period of 12 months. A longer storage takes place only in exceptional cases, for example, to investigate any reported attacks on our website or by law and in active business relationships. Anonymised statistical data is kept longer for quality assurance purposes and for annual comparisons (Google Analytics).

If you register for our newsletter subscription, we will save your data until you unsubscribe from the newsletter subscription. If a business relationship arises during the course of contacting us or using the website request, we are obliged, within the scope of the execution of the orders, to document and store the communication, contact details and documents within the legally stipulated periods.

Some of the named recipients (e.g. Google Analytics) are located outside the EU or process your personal data there. The level of data protection in other countries may not match that of your country. However, we only transfer your personal data to countries for which the EU Commission has determined that they have an adequate level of data protection, or we take measures to ensure that all recipients have an adequate level of data protection. For example, we conclude standard contractual clauses (2010 / EC and / or 2004/915 / EC).

Page visit

As part of your visit to this website, we collect the following information: the date and time of access to a page on our website, your IP address, name and version of your web browser, the website (URL) that you visit prior to accessing this website have certain cookies and information that you provide yourself by completing forms or newsletter subscription. There is no obligation to actually disclose any information that we ask you to submit on our website. However, if you do not, you will not be able to use all features of the website.

Your contact details

If you enter your contact details via the contact forms, online forms (Wufoo) or contact us by e-mail, telephone or in person, your information and contact information will be stored for 12 months to process the request and in case of follow-up questions. We do not share this information with third parties without your consent.

Note that projects (in accordance with the signed subsidy contract) grant IB.SH the right to publish in whatever form and on or by whatever medium, including the Internet, (parts of) the project data in order to fulfill its reporting, communication and visibility obligations arising from the body of rules and regulations.

Newsletter

You have the opportunity to subscribe to our newsletter via our website. For this, we need your e-mail address, additional information (e.g. country, type of organisation you represent) and your declaration that you agree to the subscription to the newsletter. As soon as you have subscribed to the newsletter, we will send you a confirmation e-mail with a link to confirm your registration. You can cancel your subscription to the newsletter any time by clicking a link that you receive with each newsletter. You can also send us your cancellation to the following e-mail address: communication@interreg-baltic.eu. We will then remove you immediately from the newsletter mailing list.

We use CleverReach as a newsletter system. The transfer of personal data for the purpose of sending out the newsletter is governed by an EU-DSGVO compliant contract.

Online forms

You have the possibility to register for events organised by the Interreg Baltic Sea Region Programme, reply to questionnaires, and share opinions. For this, we ask for your contact information and other personal information (e.g. dietary restrictions) that you voluntarily share with us via the software Wufoo. The transfer of personal data for the purpose of even registrations and surveys is governed by an EU-DSGVO compliant contract.

You may also contact us to report fraud using an online form on the website.

Cookies

Our website uses so-called “cookies”. These are small text files that are stored on your device when using the browser. They do no harm: they cannot execute programmes or transfer viruses to your devise. We use cookies to make our offer user-friendly. Some cookies remain stored on your device until you delete them. They allow us to recognise your browser on your next visit.

If you do not agree to this, you can set up your browser to inform you about the setting of cookies and allow this only in individual cases. Please note that disabling cookies may limit the functionality of our website though.

Analysis of website access data

In order to optimise the website’s offer and to improve the pages continuously, we apply Google Analytics, a web analysis service of Google Inc. (https://www.google.de/intl/de/about/) (1600 Amphitheatre Parkway, Mountain View, CA 94043, USA; in the following “Google”). Google is certified under the Privacy-Shield-Framework (https://www.privacyshield.gov/participant?id=a2zt000000001L5AAI&status=Active).

Google Analytics uses so-called “cookies”, text files that are stored on your device and allow an analysis of your use of the website. We process your data based on our overriding legitimate interest to provide easy-to-use website access statistics in a cost-effective manner (Article 6 (1) (f) of the EU General Data Protection Regulation).

The information generated by the cookie about your use of this website (including your IP address and the URLs of the web pages accessed) is transmitted to Google’s servers in the USA and stored there. We do not store any of your data collected in connection with Google Analytics.

This website uses the possibility of IP anonymisation provided by Google Analytics. Your IP address will therefore be shortened / anonymised by Google as soon as Google receives your IP address. Google will use this information on our behalf to evaluate your use of the website to provide reports on website activity and Internet related services. The IP address provided by Google Analytics within the framework of Google Analytics will not be merged with other data by Google.

We DO NOT apply the technical possibility provided by Google Analytics to analyse user behaviour across devices (cross-device tracking by User–IP). Under no circumstances, your IP-address will be merged with other data of Google. The IP addresses are anonymised so that they cannot be allocated to other data.

You can prevent the storage of cookies by a corresponding setting of your browser software. We point out, however, that in this case you may not be able to use all the functions of this website to the full extent. Rights of information, correction, deletion, portability, revocation and complaint

• You shall have the right, at any time, to demand information from us regarding the data we have stored about you as well as their origin, the recipients or categories of recipients to whom these data are disseminated and the purpose of the storage;
• You shall have the right to correct your incorrect personal data as well as the subject to the respective prerequisites in accordance with the General Data Protection Regulation;
• You shall have the right to delete or restrict the processing of your personal data and/or you may object to the processing thereof, e.g. for reasons which are based upon your special situation;
• You shall have the right of data portability, i.e. the right to receive your personal data, which you have provided to us, in a structured, standard and machine-readable format;
• If you have granted your consent for the usage of the data, you may revoke this consent at any time. The legality of the processing undertaken based upon the consent until it was revoked shall not be affected by the revocation;
• You shall have the right at any time to submit a complaint to the competent government data protection agency in your German state.
